Premises Coordinator

Location: Greenwood Community Centre, 1a School Road, Hampton Hill. TW12 1 QL

Hours: 30 hrs per week (over 5 weekdays)
Salary: £17,000 pa (£21,250 FTE for 37.5hrs)
Fixed term contract for 1-year with the potential to extend (subject to funding).

Summary

We are looking to recruit a Premises Coordinator based at Greenwood Community Centre. This role will be a prominent position working with the public, registered clients of Hampton & Hampton Hill Voluntary Care and the existing office and caretaking staff teams. The nature of the role means a flexible and friendly approach is required to all aspects of the work including a level of physical ability to safely move and handle furniture and equipment.

Responsibilities include providing excellent customer service to potential, new and existing people wishing making a room or hall hire; set up and clearing of rooms ready for bookings; take an operational lead in matters concerning health & safety in regards of the premises and to assist in the required documentation; to work with existing staff to ensure the premises is adequately staffed throughout the day; to ensure the community centre is secure after closing as required; to provide support with ongoing maintenance, DIY or handyperson tasks and to take a lead as Fire Safety Marshall and First Aid cover.

Experience in working as a team is essential as is the ability to demonstrate adequate IT skills, including data input, and a competency in literacy and numeracy.

There is some flexibility in the working hours, but covering the premises until evening caretaking staff arrive will be generally expected. Core working hours would be 11am to 5pm.

About you
We are looking for someone with good communication and customer service skills, a willing and flexible approach to work and a “can do” attitude. An understanding of working within the
voluntary sector would be advantageous. Must have an understanding of office IT products including MS Word, Excel and Outlook and able to demonstrate an ability in maintenance and DIY.

Transport Coordinator

Hours: 21 hours per week (over 4 days one being Friday)
Salary: £11,022.15 per annum pro-rata salary (£23,500 FTE for 37.5hrs)
Primary Base: Greenwood Community Centre,

This role will be a prominent position working with the public, registered clients of H&HHVC and the existing office and caretaking staff teams. The nature of the role means a flexible and friendly approach is required to all aspects of the work and will require a level of physical ability to safely move and handle the required equipment.

Duties:
– Take and schedule passenger bookings for shopping bus service, day centre work and excursions
– Coordinate the team of voluntary and paid drivers and escorts to ensure requests are met to maximise use of available resources
– Work with the staff group to help coordinate and support the work of the volunteers on the transport desk and the volunteer drivers
– To work as part of a small team and provide cover as required
– Maintain accurate computerised records of bookings, passengers, drivers and vehicles using current database
– Maintain accurate records of all fares collected and payments of mileage expenses to voluntary drivers ensuring that these are sent to the local authority in good time
– Review and develop administration and operational systems as necessary
– Working closely with the CEO helping to coordinate the production of information and publicity ensuring the project maintains a high public profile
– Working closely with the CEO to recruit, train and support new volunteers
– Provide the CEO of H&HHVC and the CEO of RaKAT with information and reports on a regular basis ensuring that they remain fully briefed on the project.
– Help to identify areas of unmet need and work closely with the CEO to develop proposals to meet the areas of need
– Attend training courses, meetings and conferences representing the organisation as required
– Undertake any other duties as required
– Be prepared to work some evenings or weekends for which time off in lieu
will be given
